I’m Liz, and I’m responsible for how your personal information is used. This policy explains what I collect, why, how long I keep it, and your rights. If anything is unclear, just ask.
What I collect:
When you get in touch or book:
Your name, email address, phone number and postal address
What you’d like photographed, your preferred dates and any other details you share
The names of people (and pets) coming to the session, and how they’re related to you
Payment details. Card payments are handled by [payment provider], so I never see or store your full card number.
About your session:
The photographs I take of you, your family, your pets and your business
Your choices of images, products and packages
Notes from our planning call, such as outfits, ideas and anything you’d like me to know
Sensitive information you choose to share:
Some sessions involve information the law treats as especially sensitive, such as:
Health information, for example if you book an Embrace session or tell me about a condition, disability or additional need so I can adapt your session
Information that may reveal your sexual orientation or gender identity, for example your pronouns, or the make-up of your family
I only collect this if you choose to tell me, and only to make your session safe, comfortable and right for you. I’ll ask for your explicit consent before recording it, and I won’t share it with anyone unless you ask me to.
When you visit my website:
Technical information such as your device, browser and the pages you visit, collected through cookies (see “Cookies” below)
If you join my mailing list:
Your name and email address
Children
I photograph children only when a parent or guardian books the session and is present. Information about children (names, ages, photographs) is provided by and agreed with that parent or guardian, and I treat it with extra care. I will never use a photograph of a child for marketing without the written consent of a parent or guardian.
How and why I use your information
What I use it for and how long I keep it:
Using your photographs
Your images belong in your gallery first. I’ll only use them to promote my business (on this website, on social media, in competitions, in print or in adverts) if you’ve given permission on your booking form. You can choose exactly what you’re comfortable with, for example “website only” or “no faces”.
You can change your mind at any time by emailing me. I’ll stop using the images in new material straight away and remove them from my website and social media within [14] days. I may not be able to recall printed material that has already been distributed.
Embrace images are never used publicly without separate, specific written consent.
Who I share your information with. I only share what’s needed, with trusted businesses that help me run the studio. They may only use it to provide their service to me:
Hostinger: website hosting and contact forms
Pixieset: your private online gallery
Booking and payment provider, e.g. Stripe or Paypal: bookings and card payments
Hostinger: email
WhatsApp (Meta): if you choose to message me there
Hostinger if you join my mailing list
Xero: invoices and bookkeeping
SIM Imaging, Loxley Colour and Graphistudio: to make your prints, albums and wall art
Hair and make-up artist or associate - name supplied at time of booking: only if you book their services, and only the details they need
My accountant, and HMRC: where the law requires it.
Some of these providers store data outside the UK. Where they do, I make sure appropriate safeguards are in place, such as the UK’s adequacy regulations or the standard contract clauses approved for international transfers.
Keeping your information safe
I store your information on password-protected devices and in reputable cloud services with two-factor sign-in. Image files are backed up securely. Paper forms are kept locked away and shredded when no longer needed.
